Subject: FIRST Delinquent NOTICE – SAMPLE #4

Dear Brother «LAST_NAME»,

One of the many duties of the Lodge Secretary is to maintain accurate membership files. The Lodge records indicate that you have not yet remitted your dues for 2009. My records could be in error, the U.S. Postal Service might not have delivered your Dues Notice in November, or your Dues Notice might have been misplaced. I am asking for your assistance in updating your file if there has been any type of error.

I have also considered the possibility that the Lodge Dues might be a financial burden to you and your family. If this is the case, please contact me and we can discuss other options.

Please understand that this is not a pleasant task for the Secretary. Yes, I have the responsibility to assist our members. However, I can’t do this alone. I need your help. When you Petitioned Freemasonry, you agreed on the Supplementary Information form that “In case of election, you would pay your dues promptly at the beginning of the year’. I am currently writing many letters and this task could be avoided if all dues were received at the beginning of the year.

Please remit your dues in the enclosed return envelope along with the invoice, reflecting any updates that should be changed in the lodge records.

If you have any questions, or if you have a personal misfortune that precludes you from affording the Lodge Dues, please contact me.

Thank you for your attention to this request.

Sincerely and fraternally,

Roger McKay, Secretary
